Moving stock to fulfillment: an onboarding checklist

Prepare your SKU data, inbound quantities, packing instructions, and sales-channel information. Agree receiving arrangements, reconcile opening stock, and test orders before going live. Timing depends on product information and the scope agreed with the team.

1. Prepare your product list
- Assign unique SKUs with names and variants such as color and size.
- Include barcodes where available, dimensions, weight, and inbound quantities.
- Identify relevant batch, expiry, or special-handling requirements.
- Map each channel’s product codes to the warehouse SKUs.
2. Agree packaging and exceptions
Provide packing photographs, box types, protective materials, and inserts. Flag bundles, gifts, and special instructions in advance so the team can confirm feasibility and applicable charges.
3. Schedule receiving and reconcile stock
Confirm the receiving date, time, and stock list with the team before shipping. Label cartons so products and quantities can be identified. Compare the receiving count with your dispatch list and resolve discrepancies before selling from the new stock.
4. Test before going live

5. Avoid confusion during the transition
Define which orders the old location will pack and which will start at the new warehouse. Do not let both teams fulfill the same order. Retain a list of outstanding orders and a stock snapshot at cutover for reconciliation.
